Guided pilot walkthrough

See the first 15 minutes of a calmer day.

A no-data walkthrough of the first daily workflow areas SproutLedger helps a small child care team organize. This is illustrative—not a live center view or an official record.

The guided flow

Five small moments. One clearer daily rhythm.

Start with the work that needs a director’s attention. Use each area alongside your existing official systems and processes.

  1. 1

    Minute 1–3

Start with the day in view

    Today’s Director Briefing

Open one focused view of attendance, overdue balances, required records, and upcoming staff or compliance items. Decide what needs attention first.

Important boundary: It is a review workspace—not an official report, a compliance decision, or a substitute for your center’s judgment.

  2. 2

    Minute 4–7

Keep physical attendance and state scans straight

    Attendance + State QR Reconciliation

Record who is physically present, then use a staff-side reconciliation log to identify missing or late parent scans and note the follow-up needed.

Important boundary: The state QR system remains the official attendance record. SproutLedger does not scan, post, submit, or modify State QR attendance.

  3. 3

    Minute 8–10

See what needs a human follow-up

    Billing follow-up

Review invoice, payment-note, subsidy, and overdue-balance status in one practical view. Then decide what your office needs to review or handle next.

Important boundary: SproutLedger does not move money or automatically send reminders. Any communication or payment action remains a person’s decision.

  4. 4

    Minute 11–13

    Keep the meal-record work moving

    CACFP work

Organize point-of-service meal counts, menus, and eligibility records so the team can review the day’s work before its normal official process.

Important boundary: SproutLedger does not file, approve, or guarantee a CACFP claim. Follow your sponsor and official program process for submissions.

  5. 5

    Minute 14–15

Leave the next readiness task clear

    Quality STARS + readiness work

Organize evidence, action items, environment notes, staff documents, and drill or record-review tasks around the work your center is preparing.

Important boundary: This is readiness support only. It does not submit an application or guarantee a Quality STARS rating, approval, reimbursement, or compliance outcome.

A narrow, controlled pilot

What the pilot actually asks of your team.

A controlled pilot is arranged directly with each center. It starts small so the team can decide whether it helps the real daily work.

  • Select one or two workflows that matter most right now.
  • Name the director and one backup owner for review and questions.
  • Use SproutLedger alongside—not instead of—your official systems and existing responsibilities.

What SproutLedger does not do

Official decisions stay official.

  • It does not submit official forms or file/approve claims.
  • It does not autonomously send messages, spend money, or change live data.
  • It does not make licensing, eligibility, reimbursement, or rating decisions.

Start with your actual workflow

If you are evaluating a pilot, we will walk through your center’s workflow before any real records are loaded.

Existing users with an assigned workspace can sign in. Everyone else can review the product boundaries before a center-specific pilot conversation.
